03How the numbers are calculated
Hourly cost = monthly salary ÷ (working days per month × 8 hours)
Actually saved per person per day = time saved per day × share of staff using it
Hours freed per year = staff × saved per person per day × working days × 12 months
Payroll cost saved per year = hours freed × hourly cost
Equivalent full-time staff = hours freed ÷ (working days × 8 hours × 12 months)
Payback period = investment ÷ payroll cost saved per month
This estimate is deliberately conservative
- Only time saved is counted — not better quality, fewer errors or revenue from faster replies.
- Minutes saved per task are illustrative estimates; measuring your current baseline makes them more accurate (the free check-up helps).
- Time saved is not about cutting jobs — it lets staff focus on customers, judgement and improvement.
- Including benefits and pension contributions in salary brings the cost closer to reality.
