AI Adoption Checklist20 things to confirm before you start
Most AI rollouts stall not because of the tools, but because goals, data, people and success measures were never agreed. This checklist walks you through each one.
What’s inside
Corporate AI Adoption Checklist
Tick each item that is true today. Fewer than 12? Start by completing “Goals and scope” before rolling AI out.
Goals and scope
- We have written down one specific problem AI should solve (e.g. cut quote preparation from 2 hours to 30 minutes).
- We have chosen one department or workflow to start with, rather than the whole company at once.
- We have defined how success is measured: time saved, fewer errors or more enquiries.
- The owner or department head will take part and has scheduled regular reviews.
Data and workflows
- We know which data this workflow uses, where it is stored and who maintains it.
- Templates, SOPs and good past examples are organised into files AI can reference.
- We have decided which data may go into external AI tools and which may not (customer data, pricing, confidential files).
- There is a plan to record senior staff know-how on video or in documents.
People and training
- Each role has assigned courses, instead of “go learn it yourself”.
- Weekly learning time is scheduled and counted as working hours.
- An internal “AI champion” answers questions and shares good practice.
- Foreign staff and new hires have material they can understand (native-language versions or subtitles).
Security and policy
- We have an AI usage policy: what is allowed, what is not, and what to do when things go wrong.
- AI tools use company-managed accounts that can be revoked when someone leaves.
- Anything AI produces for outside use (quotes, contracts, marketing copy) is always checked by a person.
- Following practices such as ISO/IEC 42001, we record risks and who is accountable.
Results and tracking
- We recorded current hours and output before starting, as a baseline.
- We review learning progress and real usage every month.
- Good practices from strong performers become templates for other departments.
- Every quarter we keep what works and drop the tools that don’t.
